Noticeboard Sponsorship Programme Overview & Strategy
Objective: To secure 40 local businesses as "Founding Sponsors" for the Manly Village Noticeboard, creating a sustainable revenue stream for the trail while driving local business support.
Context: The trail is now officially live. Our pitch to businesses must shift from selling a "future concept" (as previously done) to now selling an "active community asset." We are offering a highly visible, low-cost way for them to capture the active foot traffic currently enjoying the trail and around the busy Manly Village area.
1. How the "Founding Sponsor" Package Works
We have bundled physical signage with digital visibility to create a comprehensive marketing package for local businesses.
- Physical Visibility (The Anchor): Sponsors secure one of only 40 dedicated printed advertising spots (135 mm x 90 mm) on the reverse of the newly installed Manly Village Noticeboard, a high-foot-traffic midpoint on the trail.
- Premium Digital Placement (business special businesses): Sponsors who also offer a "Business Special" will have their offer upgraded to a highlighted "Sponsor Box." This box is pinned to the very top of the digital rewards page at their nearest checkpoint, ensuring walkers see their business first.
- Digital Placement (other businesses): If a business takes a spot but does not also have a special on offer they get a digital linked business listing acknowledgement at the bottom of all top level Trail website pages (applies to business special businesses also).
- Community Badges: Sponsors receive a physical "Founding Sponsor" decal to display in their shop window or on their counter, plus a digital badge for their website to publicly highlight their support of the local community. (This has not yet been implemented so needs to be discussed and confirmed if you wish to go ahead with either both/or one of the physical or digital options as an Sponsor benefit).
- First Right of Refusal: Sponsors are guaranteed the first option to renew their spot on the Manly Village board for Year 2 before it is opened to the wider public.
2. Costs & Pricing Structure
We are acutely aware local businesses are currently cash-strapped. We have designed this pricing to be a low-risk, high-reward investment.
- Year 1 (Founding Sponsor Rate): $150 + GST per annum.
- Year 2+ (Standard Rate): $250 + GST per annum.
Financial Note: Selling all 40 spots at the $150 Year 1 rate secures $6,000 in immediate funding, which successfully offsets our baseline trail management and asset maintenance costs.
Multiple spots: If a business would like to take more than one spot they may take two or four spots only either horizontally or vertically subject to availability at the following pricing structure –
- 2 spots - $280 for 2 spots for the first year - $475 for the second year onwards
- 4 spots - $550 for the first year - $900 for the second year onwards
3. Key Benefits to Pitch (The "Why")
When speaking to businesses, committee members should focus on these core benefits:
- Direct Foot Traffic: The trail brings locals and visitors directly past their doors. The digital "Sponsor Box" acts as an immediate hook to pull walkers inside.
- High Visibility, Low Cost: At $150 for the whole year, it equates to less than $3 a week for prime physical advertising in Manly Village, plus premium digital exposure.
- Community Goodwill: It shows they are actively investing in a project that promotes local heritage, art, and the Whangaparāoa community.
- Exclusivity: With only 40 spots available, it is a strictly limited opportunity.
4. Potential Approaches & Pitch Strategies

A. The "Warm Lead" Approach (For businesses already offering a trail special)
- The Pitch: "Your business special is already live on the trail, and we are seeing great foot traffic! We have 40 spots available on the physical Manly Village noticeboard for $150 for the year. If you take a spot, we will pin your business special to the very top of the list at your nearest checkpoint so walkers see you first.
B. The "Community Supporter" Approach (For local trades, real estate, and services)
- The Pitch: "The Whangaparāoa Treasure Hunt trail is officially live and locals are loving it. We are looking for 40 Founding Sponsors to feature on the main Manly Village noticeboard. It’s $150 for the year, you get a window decal showing you helped build the trail, and it puts your brand in front of every family walking through the village. We’d love to have [Business Name] on the board."
C. Tips for a Successful Pitch:
- Bring Visuals: Have the trail map on your phone or printed out. Show them a photo of the Manly Village noticeboard and how big the 135mm x 90mm spot is.
- Create Urgency: Remind them that it is strictly first-come, first-served. Once the 40 spots are gone, the board is locked for the year.
Renewal
I would recommend adopting a Fixed Annual Renewal Date (eg 1 September). This will drastically reduce ongoing administrative hours, allow the physical Manly Village noticeboard to be updated in cost-effective batches, and create an annual marketing push that drives urgency and cash flow. Any spots sold part-way through the year will be pro-rated by quarter to ensure fairness.

2. The Annual Renewal Cycle
The "Trail New Year" officially begins on 1 September. The annual administrative cycle is as follows:
- 1 August (One month prior): Bulk renewal invoices and notification emails are sent to all current Founding Sponsors.
- 20 August (Deadline): Final date for current sponsors to pay their invoice to secure their spot for the upcoming year.
- 21 August (Waitlist Activation): Any unpaid spots are officially forfeited and immediately offered to businesses on the waitlist or opened to the public.
- 1 September: The new sponsorship year officially begins, and the physical noticeboard is updated with any new sponsor decals.
3. Pro-Rata Pricing Structure (For Mid-Year Sign-Ups)
As new businesses will inevitably want to join the noticeboard part-way through the year when spots become available, we utilize a quarterly pro-rata pricing structure. This ensures fairness while keeping the mathematics simple for the committee.
All mid-year sign-ups will be aligned to the upcoming 1 September renewal date.
Pro-Rata Fee Schedule (Based on $150 + GST Year 1 Rate):
- Join in Sep / Oct / Nov: $150 (Full Year)
- Join in Dec / Jan / Feb: $115 (9 Months remaining)
- Join in Mar / Apr / May: $75 (6 Months remaining)
- Join in Jun / Jul / Aug: $190 (This covers the remaining 3 months plus locks in their spot for the entirety of the next 12-month cycle).
4. Waitlist Management
If the 40 spots on the Manly Village noticeboard are fully subscribed, any interested businesses must be added to a digital waitlist.
Waitlisted businesses should be informed that the board is locked until the annual renewal period. They will be given first right of refusal on any spots that are vacated after the 20 August payment deadline.
